Understanding Groups Role Permissions

Managing groups in the Nexkey app & Web portal allows you to efficiently organize employees and permissions within your organization. Streamlining access management ensures that your team members have appropriate permissions based on their roles, and reduces administrative workload. With Groups, there are some nuances to consider when it comes to permissions. We will go over those considerations below!

Groups Roles Explained

Similar to KEYS, Groups roles also include USER, ADMIN, and OWNER.
  1. USERS in a group will receive a USER key for all of the doors added to the group. They're still limited to nearby/text key unlocks, however with the Groups role, you can allow USERS to remotely unlock doors and use the "Unlock for" function (both Nexkey Controller features only). You will need to open your Group and go to the Settings section to enable/disable Users can "Remote unlock" or Users can "Unlock for..." .
  2. ADMINS in a group are no different than an ADMIN on an individual key with the exception of the Admins can modify lock settings toggle in the Groups settings page. Toggling this OFF will prevent an ADMIN from changing any of your key's main settings like Business hours, Blackouts, Wi-Fi configuration, etc.... They will still be able to send/revoke keys and remotely unlock doors as well.
  3. OWNERS in a group will receive an ADMIN key to the doors assigned to a group, however they have the power to manage multiple groups simultaneously, even if the list of keys overlap from one group to another. Refer to the Managing Multiple Groups section below for more information on this.

Managing Multiple Groups for Each Role

Managing end users within multiple groups in Nexkey depends on their role. Below is a breakdown of how each role behaves when assigned to multiple groups:

USERS and ADMINS

  • Can belong to multiple groups, as long as there is no overlap in keys between those groups.

  • If a key exists in more than one group, a USER or ADMIN can only be assigned to one of those groups to avoid duplication.

OWNERS

  • Can belong to multiple groups regardless of any overlap in keys between those groups.

  • Owners have elevated privileges and are not restricted by key duplication across groups.
